Personal data we process

Pim Polderman Consultancy processes your personal data when you use our services or when you provide it to us yourself. We may process the following personal data:

• First and last name
• Company name and address details
• Phone number
• E-mail address
• Billing details, such as your VAT number and bank account number
• Any files and information you share with us as part of an engagement

Why we process personal data and on what legal basis

Pim Polderman Consultancy processes your personal data to:

• Prepare quotes and send invoices, and to process your payments (performance of a contract);
• Contact you by phone or e-mail when needed to deliver our services (performance of a contract);
• Exchange files securely during an engagement (performance of a contract);
• Comply with legal obligations, such as keeping records required for our tax returns (legal obligation).

How long we keep personal data

We do not keep your personal data longer than is strictly necessary for the purposes it was collected for. Financial records, such as quotes and invoices, are kept for seven years, as required by Dutch tax law. Files shared during an engagement are deleted once they are no longer needed for that engagement.

Sharing personal data with third parties

We only share your personal data with third parties when this is necessary to perform our agreement with you or to comply with a legal obligation. We make data processing agreements with the companies that process data on our behalf, to ensure the same level of security and confidentiality. Pim Polderman Consultancy remains responsible for this processing. We do not share your data with any other third parties without your explicit consent.

We use the following processors:

• mailbox.org (Germany): e-mail communication;
• Tresorit (Switzerland): secure file sharing;
• Moneybird (the Netherlands): quotes and invoicing;
• Hetzner (Germany): data backups.

Cookies and similar technologies

This website does not use cookies, analytics or any other tracking technology.

Viewing, correcting or deleting your data

You have the right to view, correct or delete your personal data. You also have the right to withdraw your consent for data processing, to object to the processing of your personal data, and to data portability. This means you can ask us to send the personal data we hold about you, in a computer file, to you or to another organisation you name.

You can send any of these requests to our e-mail address. To make sure the request comes from you, we may ask you to verify your identity. We will respond as quickly as possible, and within four weeks at the latest.

You also have the right to file a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens.

How we protect personal data

We take the protection of your data seriously and take appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised changes. If you believe your data is not properly secured, or you suspect misuse, please contact us at our e-mail address. We use the following measures to protect your personal data:

• TLS: this website is only served over an encrypted connection, shown by “https” and the padlock in your browser’s address bar;
• SPF and DMARC: e-mail standards that help prevent others from sending e-mail in our name that contains malware, spam or phishing;
• DNSSEC: a digital signature on our domain name records, so your browser can verify it reaches the real pimpolderman.nl and is not redirected to a fake address;
• End-to-end encrypted file sharing through Tresorit.
